1. Information collected
The public demo form may collect your name, email address, telephone number, company or firm, preferred contact method, general city/county and state, selected workflow, contact consent, privacy acknowledgment, source page, and a brief non-confidential summary. Hosting and security systems may also process ordinary technical information such as request time, browser type, referring page, IP-derived security signals, and error logs.
2. Information you must not submit
Do not submit Social Security numbers, dates of birth, payment-card data, passwords, evidence, criminal-history records, medical information, protected child information, confidential case notes, detailed allegations, private residence addresses, sealed or privileged records, or information you are not authorized to disclose.
3. How information is used
- Review and respond to demonstration or commercial-access requests.
- Assess high-level workflow fit, jurisdiction, onboarding needs, and deployment scope.
- Protect the website, prevent abuse, troubleshoot failures, and maintain operational accountability.
- Create technical aggregate metrics solely for security, reliability, fraud and abuse prevention, incident response, and capacity planning, such as latency, error rates, storage use, and queue volume.
Technical metrics must not include case-specific metadata, file names, identities, narrative or semantic content, prompts, embeddings, evidence substance, or cross-customer investigative intelligence. Public lead information is not used for product training, model training, fine-tuning, research, performance benchmarking, advertising, resale, or cross-customer enrichment under this notice. Any such use would require a separate express written opt-in agreement.
4. Service providers and disclosures
The public site is hosted through Vercel. Approved lead submissions are forwarded server-to-server to the configured 3Min API lead-intake endpoint. The endpoint is restricted by form design to low-risk public lead information; it is not approved for evidence, full case files, criminal-history records, medical information, protected child information, payment-card data, passwords, or other restricted content.
As currently configured by the service provider, 3Min API production records may be retained in its database without an automatic expiration, and archive copies may be created after 30 days. This is a material reason to submit only the minimum non-confidential information. TraceOps is evaluating replacement or additional contractual and deletion controls before any broader intake use. Payment providers are involved only after owner-approved payment instructions are issued. Information may also be disclosed when required by law, to protect rights or security, or with your direction. TraceOps does not sell public lead information to data brokers.
5. AI-assisted processing
AI may assist with drafting, categorization, summarization, workflow recommendations, and testing proposals using approved data and controls. Public-site AI must not autonomously make legal conclusions, accept a case, authorize field work, change prices, release evidence, or publish material changes without the applicable human approval gate. Public lead content is not approved as model-training material.
6. Retention and security
TraceOps intends to keep public lead information only as long as needed for inquiry handling, security, recordkeeping, product evaluation, and legal obligations. Because the current 3Min API production service does not provide an automatic expiration through the connected configuration, TraceOps cannot promise automatic deletion on a fixed schedule until replacement, contractual, or verified deletion controls are completed. You may request deletion, but provider archives, legal holds, security records, backups, or lawful obligations may limit or delay complete deletion. Security controls reduce risk, but no internet transmission or storage system can be represented as completely secure. Sensitive operational work belongs in a separately controlled private environment.
7. Choices and contact
You may request access, correction, or deletion of public lead information, subject to identity verification, provider capability, legal holds, security needs, and applicable retention requirements.
